First message

Five lines is usually enough.

You do not need a brief, a requirements document or an NDA to start a conversation. You need to describe one seam clearly. If any of these is unknown, say it is unknown, which is itself useful information.

  1. Line one

    Which two systems

    Name them, including version or edition where it matters. If one of them is a spreadsheet, an inbox or a person retyping figures, say so. That is extremely common and is not embarrassing.

  2. Line two

    What is meant to happen between them

    The intended behaviour in one sentence, including how often. Nightly, on save, on approval, on the last working day of the month.

  3. Line three

    What actually happens

    The symptom as somebody experiences it, not the theory of the cause. Duplicated records. Silent gaps. A job that fails twice a month and is rerun by hand. A number that disagrees with another number.

  4. Line four

    What it costs you

    Roughly. Hours of manual work, a delayed close, a regulatory report that has to be corrected, a customer who noticed. This decides whether the work is worth doing at all, and sometimes the answer is that it is not.

  5. Line five

    Who has to agree to a change

    The person or team that owns each side of the seam. Integration work stalls on permission far more often than on technique, and knowing this early changes the shape of any proposal.
